How do I access my document checklist?

Your attorney sent you an email with a secure personal link. Click that link — it opens your checklist directly, no password required.

Important: Bookmark that link or save the email now. It is the only way back to your checklist. Do not share it with anyone.
What if I close the page before I'm done?

Your progress is saved automatically every time you upload a document. Simply return to your secure link (from your email or bookmark) and your checklist will show exactly where you left off.

A Continue → button at the top of the checklist always points you to the next step that still needs a document.

How long does my link stay active?

Your link is active for 30 days from the date your attorney created the case. You will see a warning on your checklist when fewer than 5 days remain.

If your link has expired, contact your attorney and ask them to resend it. They can do this with one click on their end.

Do I have to upload documents in order?

No. You can upload documents for any step in any order. Upload whatever you have available now and return for the rest later.

After each upload, the app will automatically move you to the next step that still needs a document. You can also use Skip to Step N → to jump ahead, or click ← Back to Checklist to choose a specific step yourself.

What file types can I upload?
  • PDF — preferred for all documents
  • JPG / JPEG — photos of documents are accepted
  • PNG — screenshots and scanned images

Maximum file size: 25 MB per upload. If you have multiple pages, combine them into a single PDF before uploading.

What happens after I upload a document?

The step status changes to Submitted and your attorney is automatically notified by email. You do not need to contact them separately.

Your attorney will review the document and either mark it Reviewed (accepted) or Rejected (returned for a new upload). If rejected, you will see the attorney's reason on your checklist and a prompt to re-upload.

A step shows "Rejected" — what do I do?

Your attorney has returned this step and left a reason (shown in red on your checklist). Click Upload on that step to submit a replacement document. Once uploaded, the step returns to Submitted for attorney review.

All 13 steps are submitted — am I done?

Yes — your checklist will show a green "All documents submitted" banner. Your attorney has been notified and will review everything. You may close the page. Your attorney will contact you if anything further is needed.

I can't find my link and it's not in my email. What do I do?

Contact your attorney directly and ask them to resend your magic link. They can do this instantly from their Case Details screen. A fresh link will arrive in your inbox within a few minutes.

Note: The link is tied to your attorney's case file. Only your attorney can resend it — the Estate Executor Tracker support team cannot access or issue links on your behalf.

What do the checklist statuses mean?
Status What it means Who sets it
Not Started No document has been uploaded for this step yet. Set automatically at case creation.
Submitted The executor has uploaded a document. Awaiting your review. Set by the executor on upload.
Reviewed You have accepted the document. This step is complete. Set by you via Mark Reviewed.
Rejected You returned the document. The executor has been notified to re-upload. Set by you via Reject.
How does the executor access their checklist?

When you create a case, the system automatically emails the executor a secure magic link. That link opens their 13-step checklist — no account, no password required.

The link is valid for 30 days from case creation and can be used multiple times.

The executor says they can't find their link. How do I resend it?

On the Case Details screen (Screen 3), click ✉ Resend Magic Link in the top-right of the Case Details card. The system will immediately email a fresh copy of the same link to the executor's email address on file.

The link itself does not change — resending just delivers a new email with the same secure URL. Any link the executor previously bookmarked continues to work.
Can I close a case before all 13 steps are Reviewed?

No. All 13 checklist items must have status Reviewed before the Close Case option becomes available. This is a hard enforcement to prevent premature closure.

If you need to override this for a specific case, contact the operator.

How do I reopen a closed case?

Navigate to the closed case (use the Closed Only filter on the Cases list). On the Case Details screen, click Reopen Case. The case returns to Active status and all documents remain intact.

Reopening a case requires an active subscription.

What is the Step 11 (Inventory) deadline?

The inventory deadline is state-specific and calculated automatically from the Date of Qualification you enter on the case:

  • NC and TX: 90-day statutory deadline. The app alerts you at 80 days (10-day review buffer).
  • FL: 60-day statutory deadline. The app alerts you at 50 days.

A yellow warning banner appears on the Case Details screen when the soft deadline is 14 days or fewer away. Enter the Date of Qualification as soon as Letters Testamentary are received to activate deadline tracking.

How many cases can I create on my plan?
  • Starter ($49/mo or $499/yr): 10 active cases
  • Professional ($89/mo or $899/yr): 25 active cases
  • Firm ($149/mo or $1,499/yr): Unlimited active cases

Annual plans receive a 15% discount. Closed cases do not count toward your limit. To create more cases, close completed ones or upgrade your plan on the Billing page.

Where is the audit log and what does it contain?

The audit log is on the Case Details screen (Screen 3), in the collapsible Audit Log section at the bottom. It records every state-changing action for this case:

  • Document uploads and deletions
  • Status changes (Reviewed, Rejected)
  • Case creation, closure, and reopening
  • Magic link resends
  • Notes saves

The audit log is append-only and cannot be edited or deleted. It is the chain-of-custody record for the case.

Can I download all the documents attached to a case at once?

Yes. On the Case Details screen, the bottom action bar offers two options for downloading all uploaded documents at once — available for both open and closed cases:

  • 📄 Download All Documents — PDF
    Combines every uploaded document into a single PDF file. A cover page lists the case details and a table of contents. Each document is preceded by a section header showing the step number and step name. This is the recommended option for most attorneys — the file opens in any PDF viewer and prints as a single packet.
  • 📦 Download All Documents — ZIP
    Packages every uploaded document as individual files inside a folder (ZIP archive). Each file is named with its step number and step name so the contents are self-organizing. Use this option if you need to re-file individual documents, forward them separately, or store them in a document management system.

Both options require an active subscription and include only documents that have not been deleted. Each download is recorded in the audit log.

Recommendation before closing a case: Download the full document PDF as a permanent record. Once your subscription ends, case data is retained for 30 days before permanent deletion.
Can I still view and download individual documents after a case is closed?

Yes. Closing a case makes all fields read-only but does not remove or hide any documents. On a closed case, every step that has an uploaded document continues to show a View PDF link in the Document column of the checklist table. Click it to open the individual document.

The full-bundle download options (PDF and ZIP) are also available on closed cases from the bottom of the Case Details screen.
